Where values come from
A value reaches a fact in three ways:- Only a value entered by hand is kept without review.
- Ask never accepts a value itself.
- Accepted values also show under Details on the client’s Overview tab.
The Facts tab
Open a client and choose the Facts tab. The count on the tab is the number of values waiting for review. Every fact is listed in one list, in the same order as in Settings. Each row shows:- The fact’s name.
- Its current value. A fact that takes several values shows each one.
- Where the value came from: the document, Entered by a member, or From Ask.
- A to review tag when a new value is waiting.
Reviewing a value
A value from a document or from Ask waits for you before it is used.1
Open the value
Select the to review tag beside the fact. It reads To review when the fact has no value yet.
2
Compare
The review shows the current value next to the new one, and where the new one came from. For a document, select the link to open the page it was read on.
3
Accept or reject
Select Accept to use the value, or Reject to leave it out. You can change the value before you accept it.
- When a fact takes one value, the accepted value replaces the current one.
- When a fact takes several, the accepted value is added beside the others.
- A rejected value is not used. It stays in the fact’s history.
Changing a value by hand
1
Open the value
Select the value you want to change.
2
Enter the new value
Type the new value. A date fact takes a date and an amount fact takes an amount.
3
Add a note (optional)
Under Why it changed, say why, such as “New job from March”.
4
Save
Select Save. Press Esc or select Cancel to keep the old value.
- The new value is kept straight away.
- The old value stays in the fact’s history.
- When a fact takes several values, only the value you selected changes.
- A value waiting for review keeps waiting. Changing a value by hand does not reject it.
Adding a value
Use this to fill in a fact with no value yet, or to add another value to a fact that takes several, such as a second super fund.1
Pick the fact
Select Add fact. The list has two sections:
- No value yet: facts the client has no value for.
- Add another value: facts that take several values.
2
Enter the value
Type the value and, if you like, a note on why.
3
Add it
Select Add. The value is kept straight away.
Removing a value
Open the fact, then open the value’s menu and select Remove.- The value is no longer current.
- It stays in the fact’s history, marked as removed.
History and changes
Select a fact’s name to open it in the side panel. It shows:- Values waiting for review.
- The current value, or each current value for a fact that takes several. Each has a menu with Edit and Remove.
- History: values that were replaced, removed or rejected, with who did it, when, and their note.
- The documents the values came from.
- Values a document proposed. Select Show changes to see each one.
- Values accepted, rejected, changed, entered or removed by a member, with the old and new value and the note.
- Values Ask proposed, and who asked.
Rules for values
- A note can be up to 500 characters.
- You can only set a value for a fact your firm has. A new fact can’t be made from a client’s page.
- An archived fact can’t be given a new value.
What is never kept
Advisor refuses a value that would hold:- A tax file number.
- An identity document number, such as a driver licence, passport or Medicare card.
- A government reference number, such as a Centrelink CRN.
- Medical details. Health fund and cover level are fine to keep.
Who can change facts
- Anyone in your firm who can see a client can review, enter, change and remove that client’s values.
- Only admins can make, rename or archive facts in Settings.
- Every change is recorded with who made it.
