A document type tells Advisor how to recognise a file and which values to read from it. Advisor sorts every file a client sends into a type, then reads that type’s fields for you to check on review. Go to Settings > Document types to see them.
Everyone in the firm can look at document types. Only admins can make changes. See Team.

The list

Types are grouped under headings such as Banking and loans, Income and tax, Investments and super, Property and insurance, Entities and structure and Other. Filter with All, Built in or Your firm. Your firm shows the types you made and the built-in types you added fields to. For each type you see: Search covers type names, field names and the facts they fill.

Built-in types

Built-in types are made by Redbark and marked with a lock. You can’t rename them or change their fields. An admin can still add fields of the firm’s own to them.

Adding a field

1

Open the type

Select a type in the list, then select Add field.
2

Describe the field

Fill in:
  • Name: what the value is called, such as “Salary sacrifice to super”.
  • What to look for: where it sits on the page and how it’s often labelled. Optional.
  • Type: Text, Date, Amount, Number or Percent.
  • Section: fields in the same section sit together on review.
3

Link a fact (optional)

Under Fills client fact, choose an existing fact or New firm fact. Once an advisor approves the value, it fills that fact on the client. Number and percent fields fill no fact.
4

Set Required

Turn Required on if every document of this type should have the value.
5

Save

Select Add field.
A new field applies to documents read from now on. Values already read stay as they are. To change a firm field, open its menu and choose Edit, Move up, Move down or Archive.

Making a new type

1

Start the type

Select New document type.
2

Name and describe it

Give it a Name. Under How Advisor recognises it, describe the document. Advisor uses this description to sort each file a client sends.
3

Choose a group

Pick the Group where the type sits in the list.
4

Choose what it holds

Under What it holds, choose Values on the page to read fields, or Just the file to keep the file with nothing read. This is fixed once the type is made.
5

Add fields

For Values on the page, add the fields to read from every document of this type.
6

Create it

Select Create type. Any admin can change the name, description and group later.
A checklist item asks for your type when its title uses the type’s name.

Starting from a client’s document

When Advisor can’t place a document, an admin can select Make a new document type from this in the document viewer.
  • Advisor suggests a name, a description and up to 12 values it can see on the file.
  • Tick the values you want to read from every document of this type, and change anything.
  • When you create the type, you can read that document again as the new type. What it finds waits for an advisor to check.
  • You can also sort again recent documents Advisor couldn’t place. Those that don’t match stay unplaced.

Archiving

You can archive a firm type or a firm field. Nothing is deleted.
  • An archived type isn’t offered anywhere and nothing new is sorted into it. Documents already read keep their type and values.
  • An archived field isn’t read from new documents. Values already read stay, approved ones included.
  • Archived items move to Archived in the list. Select Restore to bring one back.

What Advisor never keeps

Advisor refuses a field name or description that would hold:
  • A tax file number.
  • Identity document numbers, such as driver licence, passport and Medicare card numbers.
  • Government reference numbers, such as a Centrelink customer reference number.
  • Medical details. Health fund and cover level are fine to keep.
