# Reports

> Export a client's balances, spending, or income and expenses as a PDF on your letterhead or as a CSV.

A report turns one client's accounts into a file you can share or keep on record. Each report is made once and never changes. Advisor keeps every report you export, so you can open it again later.

## Report types

| Report | Asks for | Shows |
| - | - | - |
| **Balance summary** | One date (**As at**) | Assets and debts at a date. Every account open that day with its latest accepted balance, and the net position. |
| **Spending summary** | A period (**From** and **To**) | Spending by category over a period, by category and by month. |
| **Income and expenses** | A period (**From** and **To**) | Income against living expenses over a period, by category and month. |

What goes into a report:

* Only accepted balances. A statement balance still marked **To check** is left out. See [Money](https://redbark.com/docs/advisor/money.md#balances-from-documents).
* Only settled transactions. Pending transactions are never reported.
* Transfers between the client's own accounts are left out of spending and income.
* Bank accounts are listed first, then accounts from statements.

## Making a report

**1. Start a new report**

Go to **Reports** and select **New report**, or select one of the three report cards. On a client, you can also choose **Export a report** from the **...** menu, or **New report** on the client's **Reports** tab.

**2. Choose the report and the client**

Pick the report, then search for and choose the **Client**.

**3. Choose the date or period**

A **Balance summary** needs an **As at** date. The other two need a **From** and **To** date.

**4. Choose the format**

Pick **PDF** or **CSV**, then select **Export**.

The new report opens in the viewer as soon as it's made.

### Date rules

* No date can be after today.
* A period can cover at most two years.
* Dates are calendar days in Sydney time.

### Formats

* **PDF**: set on your firm's letterhead, with your logo, your brand colour as an accent, your email and your portal address. See [Branding](https://redbark.com/docs/advisor/settings/branding.md).
* **CSV**: one row per account, or one row per transaction for a period report.

## Viewing a report

Opening a report never downloads it. It opens in the viewer:

* The details are on the left: client, report, date or period, format, when it was created and who made it.
* The pages are on the right, with page and zoom controls. A CSV shows as a table.
* Use the arrows to move to the previous or next report in the list.
* Press Escape or select **Close** to go back to the list.

## Downloading a report

Select **Download** in the viewer, or choose **Download** from a report's menu in the list.

## Deleting a report

**1. Find the report**

Open the report, or open its menu in the list.

**2. Delete it**

Choose **Delete report** (or **Delete** from the list menu) and confirm.

The file and its pages are deleted, and links to it stop working. The figures it was made from are kept, so you can export it again.

## Reports page and client Reports tab

* The **Reports** page shows **Recent exports** for every client. Show them as a **Table** or **Gallery**, and use **Search exports** to find one by report, client or period.
* A client's **Reports** tab shows only that client's reports, with **New report** to make another.

> [!NOTE]
>
> An archived client can't have new reports made. Reports made before the client was archived stay.

## From the API

Reports can also be listed, made and deleted through the [Advisor API](https://redbark.com/docs/advisor/api-reference/overview.md) and [MCP](https://redbark.com/docs/advisor/mcp/index.md). A download link from the API works for 15 minutes.
