# Workflows

> Example prompts for everyday advisory firm tasks, and the tools your AI client uses for each.

These prompts work with a connection that has **Read and change** access. Prompts that only look things up also work with **Read only**. Replace the names with your own clients and templates.

Your AI client picks the tools. The lists below show what it will usually call, so you know what each prompt can do.

## Find clients who haven't finished their checklist

> Which clients haven't finished their checklist?

* `list_clients` returns each client's checklist progress (items done out of total) and where they stand: waiting on the client, needs you, invited or not invited.
* `list_client_checklists` shows which items a client still has open.

Follow up with "Send them all a reminder" and the client uses `post_message` for each one. Each client is emailed that there is a new message.

## Send a checklist to a client

> Send Anna Lee the End of year checklist.

1. `list_clients` finds Anna Lee's client id.
2. `list_checklist_templates` finds the End of year template.
3. `send_checklist` sends a copy to Anna.

Anna sees the checklist in her portal at once and gets an email a few minutes later. Sending needs an active subscription. See [troubleshooting](https://redbark.com/docs/advisor/mcp/troubleshooting.md#402-subscription-required).

## Review what clients have submitted

> What has been submitted that I still need to review? Approve anything that's complete and ask for changes on the rest.

1. `list_clients` finds clients that need you.
2. `list_client_checklists` shows each submitted item with its files and answers.
3. `approve_checklist_item` approves an item. `request_checklist_item_changes` sends it back with a note.

The client sees the note on the item in their portal and gets an email. Check what your AI client plans to approve before you let it go ahead.

## Add a new client and invite them

> Add Ben and Priya Shah as a couple. Ben's email is [ben@example.com](mailto:ben@example.com). Send them our New client onboarding checklist and invite them.

1. `list_checklist_templates` finds the template.
2. `create_client` adds the client with both people, the template and `send_invite` set to true.

Ben gets an invite email from your firm. Priya is invited too if you give her email address. Adding a client needs an active subscription and a free place on your plan. See [troubleshooting](https://redbark.com/docs/advisor/mcp/troubleshooting.md#409-client-limit-reached).

## Catch up on client messages

> Which clients have messaged us that I haven't read? Summarise each thread.

1. `list_threads` with `unread` lists threads waiting on the firm.
2. `list_messages` reads each thread.
3. `mark_thread_read` marks a thread read once you have dealt with it.

Ask "Reply to Sam saying we'll call on Thursday" and the client uses `post_message`. Messages are posted as you.

## Check a client's position

> What is the Nguyen family's net worth? Break it down by institution.

* `get_money_summary` returns assets, debts and net worth from accepted balances, in total and by institution.
* `list_accounts` lists each account with its newest balance.
* `list_transactions` reads transactions from connected banks.

Balances read from documents count once they are accepted. Amounts are in cents, so your AI client divides by 100.

## Export a report

> Export a balance summary for Sam Patel as at 30 June, as a PDF.

1. `list_clients` finds Sam's client id.
2. `create_report` with `kind` set to `balance_summary`, `as_at` set to the date and `format` set to `pdf`.

The answer includes a download link that works for 15 minutes. Spending summary and income and expenses reports take a start and end date instead, at most two years apart. To get a fresh link later, ask for the report again (`get_report`).

## Review a document

> Show me what was read from Sam's latest payslip and approve it if nothing is flagged.

1. `list_documents` finds the payslip.
2. `list_document_values` shows each value, the value as read and whether it waits for approval.
3. `approve_document` approves every waiting value and accepts the document's facts and balance.

A flagged value must be approved or changed first (`approve_document_value`). To send a file back to the client, ask for `send_back_document` with a reason.

## Tips

* Ask for a plan first on anything that sends email to clients, such as invites, checklists, messages and change requests.
* Name the client the way Advisor shows them. If two clients match, your AI client should ask which one.
* Admin-only tasks, such as inviting colleagues or managing webhooks, need an admin's connection. See [tools](https://redbark.com/docs/advisor/mcp/tools.md).
