# Documents

> Collect files from clients, check the values Advisor reads from them, and comment on any part of a page.

Every file a client sends, and every file your firm adds, sits in the client's **Documents** tab. Advisor reads each file in the background, works out what kind of document it is, and pulls out the values that matter. You check those values against the page before anything is used.

## Adding documents

Documents reach a client in three ways:

* The client uploads files for a document item on their [checklist](https://redbark.com/docs/advisor/checklists.md).
* The client uploads from **Documents** in their [portal](https://redbark.com/docs/advisor/client-portal.md), or attaches a file to a message.
* Someone in your firm uploads on the client's **Documents** tab.

To upload for a client:

**1. Open the client**

Go to **Clients**, open the client and choose the **Documents** tab.

**2. Add the files**

Drop files on the upload area, or select **Upload** and choose them. You can add several at once.

**3. Wait for the read**

Each file shows **Reading** while Advisor works on it. This is usually done in under a minute.

> [!NOTE]
>
> Files your firm uploads stay with your firm. The client only sees files their own people uploaded.

### File types and size

| Supported | Limit |
| - | - |
| PDF, JPG, PNG, HEIC, XLSX and CSV | 50 MB per file |

* Advisor checks what a file really is from its contents, not its name.
* A CSV must be saved as UTF-8 text. If it is refused, save it as **CSV UTF-8** and upload it again.
* A file that would be refused is stopped before it uploads, with the reason shown.
* Uploading the exact same file twice for a client keeps the first copy.

## The Documents tab

Show documents as a **Table** or a **Gallery**. Use the search box to find a file by name or type.

Filter by where each document stands:

| Filter | Shows |
| - | - |
| **All** | Every document |
| **To review** | Read, with values waiting for you to check |
| **Needs you** | Documents Advisor couldn't read or couldn't place |
| **Reading** | Still being read |
| **Approved** | Every value checked |

The table shows who sent each file and when, what it was read as, how many values were found and how many need a closer look.

Open a document's menu to **Open**, **Download** or **Delete** it. Deleting removes the file and its pages. Values you already accepted from it stay on the client.

### Statuses

| Status | Meaning |
| - | - |
| **Reading** | Advisor is reading the file |
| **To review** | Values are ready for you to check |
| **Choose a type** | Advisor couldn't tell what kind of document it is |
| **Couldn't read** | The file couldn't be opened or made out |
| **Approved** | Every value is checked |
| **Kept as a file** | Kept with nothing read from it |
| **Sent back** | Sent back to the client on their checklist item |

## The document viewer

Open a document to see its pages on the left and two panels on the right: **Values** and **Comments**.

* Zoom in and out, and move between pages.
* Pages with a value that is hard to read are marked.
* **Download** saves the original file.
* The **...** menu has **Upload a new copy**, **Send back to** the client, and **Keep as a file only**.

### Checking values

The **Values** panel shows what Advisor read, grouped into sections. The line at the top says what the document was **Read as** and how many values are approved.

**1. Start with the flagged values**

Values that were hard to read, or left blank, sit under **Check these first**. Hover over any value to see where it sits on the page.

**2. Approve or change each value**

Select the tick to approve a value as read. Select the pencil to correct it, then **Save and approve**. **Undo** takes an approval back.

**3. Approve the rest**

Once the flagged values are done, select **Approve all** or **Approve all remaining**.

Before you approve, **When you approve** lists what will change:

* A statement's account gets its balance on the client's [Money](https://redbark.com/docs/advisor/money.md) tab.
* Client details, such as employer or date of birth, are added to the client. See [Facts](https://redbark.com/docs/advisor/settings/facts.md).
* Other values are kept with the document.

After approval the panel shows **What changed**, the values **You changed** next to what was read, and anything **Not in this document**. Select **Add value** to fill in a missing one. **Reopen review** takes the whole document back to checking.

If the type is wrong, select **Change** beside **Read as** and choose another. The file is read again and the old values are replaced.

### When Advisor can't read a document

A document that **Couldn't read** says why, for example a password-protected PDF or a blurry photo. You can:

* **Ask** the client for another copy. This sends it back on the checklist item with a note.
* **Upload** a new copy yourself. It replaces the file and is read again.
* **Keep** it as a file only, with nothing read from it.

### When Advisor can't tell the type

A document marked **Choose a type** waits for you. Under **Read it as**, pick a type and select **Read again**. Or choose **Keep as a file only**.

If none of the types fit, an admin can select **Make a new document type from this**. Advisor suggests a name and the values it can see. See [Document types](https://redbark.com/docs/advisor/settings/document-types.md).

### Sending a document back

Use **Send back to** the client when a file isn't what you asked for. This is available for files sent for a checklist item. Choose a reason (**Wrong document**, **Pages missing**, **Hard to read**, **Out of date** or **Other**) and write a note. The client gets an email and sees your note on the checklist item.

## Comments and highlights

You can comment on any part of a page.

**1. Highlight the part**

Drag across part of a page to highlight it.

**2. Write your comment**

Type your question and post it. Values Advisor read inside the highlight are quoted for you.

* Comments post to the client's [messages](https://redbark.com/docs/advisor/messages.md) as well.
* The **Comments** panel lists each thread with its replies.
* The client sees your highlights and comments on their copy of the document and can reply.
* Select a pin on the page to open its thread.
