# Client portal

> What your clients see and do in their portal, branded as your firm.

The client portal is where your clients connect banks, upload documents, answer questions and message you. It shows your firm's name, logo and brand colour. Clients don't need a password.

## Branding

* The portal uses your firm's logo, name and brand colour.
* Emails to clients come from "Your Firm via Redbark" and carry your logo and colour.
* The only Redbark mark is an optional "Secured by Redbark" line in the portal footer. You can turn it off in [Branding](https://redbark.com/docs/advisor/settings/branding.md).

## Signing in

### With the invite link

When you invite a client, they get an email from your firm. The button in it opens a page that says your firm has invited them. They select **Open your portal** and are signed in.

* An invite link works once.
* An invite link is valid for 14 days.
* Sending a new invite replaces the old link.

If a link no longer works, the page says why:

| Message | Why |
| - | - |
| **This link was already used** | The link has been used once already |
| **This link has expired** | More than 14 days have passed |
| **This link was replaced** | A newer invite was sent |
| **This link does not work** | The link is incomplete or unknown |

Each page offers **Sign in with email** instead.

### With an emailed code

Clients can sign in any time with their email address.

**1. Enter their email**

On **Sign in to your portal**, the client enters the email you invited and selects **Send me a code**.

**2. Enter the code**

They enter the 6-digit code from the email and select **Sign in**.

Rules for codes:

* A code is valid for 10 minutes.
* Only the newest code works.
* After 5 wrong tries, the code stops working. The client asks for a new one.
* An address can ask for 5 codes an hour.
* Codes are only sent to people you invited.

If your client hasn't received a code, they can select **Send a new code**, or **Use another email**.

> [!NOTE]
>
> If someone from your firm is signed in to Advisor in the same browser, the portal asks them to sign out first.

## Home and the checklist

Home shows what your firm needs from the client. It greets them with "Welcome" and shows their progress.

Items are grouped:

* **To do**: items still to complete. Items you sent back show **Needs changes**, with your note.
* **Submitted**: sent to you and shown as **In review**.
* **Done**: approved, or banks connected.

Items not required show **Optional**.

The client selects an item to open it:

* **Document**: drag a file in or browse, then select **Submit**. Files can be up to 50 MB.
* **Questions**: fill in the answers and select **Submit**. Some answers may already be filled in from documents they shared. They can change them.
* **Connect banks**: search for their bank and select **Connect**. Access is read-only through open banking. The item is done once a bank is connected.

When nothing is left to do, Home shows **All done** and their recent messages.

> [!NOTE]
>
> While the client still has their first checklist to work through, Home is all they see. The menu with Accounts, Documents and Messages appears after that.

## Accounts

The **Accounts** page lists the bank accounts the client shares with you, grouped by bank.

* **Connect another bank** adds more accounts.
* **Stop sharing** ends sharing for a bank. Your firm stops receiving balances and transactions from it straight away. The accounts, balances and transactions you have from it are deleted.

The client can connect a bank again at any time.

## Documents

The **Documents** page shows everything the client has shared with you. They can view it as **Gallery** or **Table**, and select **Upload** to share another file.

Each document shows a status:

| Status | Meaning |
| - | - |
| **Received** | Shared with you |
| **Approved** | You approved it |
| **Needs changes** | You sent it back |
| **Replaced** | A newer file took its place |

Opening a document shows its pages, highlights from your firm and **Comments**. The client can reply to comments and select **Download**. Replies also appear in Messages.

## Messages

The **Messages** page is the client's conversation with your firm.

* They can write a message and **Attach a file**.
* They can edit their own message for 5 minutes after sending it.
* They can delete their own messages.

See [Messages](https://redbark.com/docs/advisor/messages.md) for the firm side.

## Emails to clients

Besides invites and sign-in codes, Advisor emails clients when something is waiting for them, such as new messages, a new checklist or an item you sent back. The email gives counts and a link to the portal. It never includes the message text or file names.

You can turn these emails off in [Branding](https://redbark.com/docs/advisor/settings/branding.md#client-emails).

## Preview the portal

Anyone in your firm can preview the portal as a client sees it.

* Go to **Settings**, **Branding** and select **Preview portal**.
* Or select **Preview portal** in the New client dialog.

The preview opens in a new tab with a sample client. A bar at the top says it's a preview. Nothing you do there is sent or saved. It shows your saved branding, not unsaved changes. Select **Back to Redbark Advisor** to return.
