# Checklists

> Build reusable checklists, send them to clients, and review what comes back.

A checklist is a list of what you need from a client. You build it once as a template, then send it to any client. Each client gets their own copy, which you can change for them.

## Item types

| Type | What the client does |
| - | - |
| **Document** | Uploads a file, like a payslip or a statement |
| **Questions** | Fills in a short form |
| **Connect banks** | Links their bank accounts through open banking |

### Question types

A Questions item holds up to 30 questions. Each question has a type:

* **Short answer**
* **Long answer**
* **Date**
* **Yes or no**
* **Choice**: give between 2 and 20 choices
* **Address**

## Create a checklist

**1. Name it**

Go to **Checklists** and select **New checklist**. Enter a **Name** your team will recognise, like "New client onboarding". Select **Create**.

**2. Add items**

Select **Add item** and choose **Document**, **Questions** or **Connect banks**. The new item opens so you can edit it.

**3. Edit each item**

Set the item's options (see below). Select **Done** when you're finished.

Changes save as you go. The **What clients see** pane shows the checklist as it looks in the portal. Switch between **Desktop** and **Phone**.

### Item options

* **Title**: what the client sees. Up to 200 characters.
* **Note for the client**: optional. One line under the title. Up to 300 characters.
* **Required**: the checklist is complete only when this item is done. Items that aren't required show as **Optional** to the client.
* **Questions**: for a Questions item, select **Add question**, write the question and pick its type.
* **Answered from documents when we can**: for a Questions item. If the client already has this fact from a document, the answer is filled in for them to check. See [Facts](https://redbark.com/docs/advisor/settings/facts.md).

A **Connect banks** item is done once the client connects a bank.

### Reorder, duplicate or remove items

* Drag an item to move it, or use **Move up** and **Move down** in its menu.
* **Duplicate** adds a copy straight after the item.
* **Remove** takes the item out of the checklist.

## Manage checklists

The **Checklists** page lists your templates, with the number of items, how many clients use each one, and when it was last edited.

Open a checklist's "…" menu for:

* **Duplicate**: makes a copy with the same items, called "Name copy".
* **Send to a client**
* **Rename**
* **Delete**

Clients who already have a checklist keep their own copy. Editing, renaming or deleting the template doesn't change it for them.

## Send a checklist to a client

You can send a checklist in three ways:

* When you add a client, pick it under **Checklist to send**.
* From the checklist, select **Send to a client**, choose a **Client** and select **Send**.
* From a client's page, select **Request**, then **A checklist**. Choose it and select **Send**.

The client gets their own copy in their portal, and an email from your firm a few minutes later. A client can have more than one checklist. On the client's **Checklist** tab, select **Add a checklist** to send another.

## One-off requests

To ask a client for one extra thing without a whole checklist:

**1. Open Request**

On the client's page, select **Request**.

**2. Pick what to ask for**

Choose **A document**, **Answers to questions** or **Bank connections**.

**3. Edit the item**

The item is added to the client's current checklist and opens for you to edit.

If the client has no checklist yet, Advisor asks you to send one first.

You can also select **Add item** on any checklist on the client's **Checklist** tab.

## Change a client's checklist

On the client's **Checklist** tab, each checklist has its own menu:

* **Add item**
* **Rename checklist**
* **Remove checklist**: it leaves the client's portal with its answers. Uploaded documents stay on the client's page.

Each item has a menu with **Edit** and **Remove**. A removed item leaves the client's checklist. Anything they sent for it stays in Documents.

## Review items

The client's **Checklist** tab groups items:

* **Needs your review**: the client submitted it.
* **Sent back**: you asked for changes.
* **Waiting on** the client: not done yet.
* **Done**

Each checklist shows its progress, like "2 of 6 done", and when it was sent.

To review an item:

**1. Open it**

Select **Review** on the item. A panel opens with what you asked for and the files or answers the client sent.

**2. Decide**

Under **Your decision**:

* Choose **Approve** to mark the item done. Files stay in the client's documents.
* Choose **Send back**, say what needs to change, and select **Send back to** the client.

A sent-back item shows **Needs changes** in the client's portal, with your note. When they submit again, it returns to **Needs your review**.

Items waiting on you also show under **Needs your review** on the client's **Overview** tab.
